Job Description
Key Responsibilities: Executive support: Diary and calendar management, scheduling, meeting coordination Admin: Invoicing and quoting (multi-currency knowledge essential) Managing supplier and customer invoices/statements Statement preparation, reconciliation, and record-keeping Travel & accommodation: Arranging domestic and international travel with travel agency Booking accommodation, managing itineraries, travel insurance, and related admin Medical coordination: Scheduling appointments with hospitals and Drs, managing communications and medical aid admin as well as accompanying clients to appointments if need be Liaison work: Acting as point of contact with suppliers, service providers, clients Ideal Candidate Profile: Proven experience as a PA or Executive Assistant in a high-pressure environment Solid bookkeeping skills with experience in invoicing, quoting, and multi-currency transactions Strong travel and accommodation arranging experience Highly organized, able to manage and prioritize multiple tasks efficiently Honest, reliable, and discreet with a strong sense of accountability Fluent in Portuguese (Portugal dialect preferred) Own reliable vehicle and valid driver's license Young, energetic, professional preferred due to the roles pace and flexibility Additional Details: Some flexibility with hours and occasional travel required Immediate start preferred
