Job Description

Introduction We are seeking a detail-oriented Administrative Assistant to support our client’s on-site operations. This position combines shipping responsibilities with general administrative duties and requires strong organizational skills, accuracy, confidentiality, and collaboration. You will maintain records, manage time-sensitive shipping tasks, support inventory documentation, and provide general office support while following on-site safety procedures. This is a full-time opportunity, working 37.5 hours per week on a standard daytime schedule. Candidates must be local, able to work fully on-site, and eager to contribute to a multidisciplinary team environment. Responsibilities Maintain records and filing systems in both electronic and physical formats. Perform daily shipping tasks involving time-sensitive materials and deadlines, including occasional lifting up to 50 lbs. and extended standing during inventories. Ensure confidentiality of information and documentation. Address routine and non-routine inquiries with professionalism. Source seed requests and understand various quality parameters for seed sources at the station. Support the management of the seed library to ensure accuracy of physical and digital documentation. Work independently while staying focused on assigned tasks and priorities. Participate in on-site safety standards and serve as a member of the Joint Health and Safety Committee. Requirements Minimum 2 years of administrative support experience. High school diploma required; post-secondary education preferred. Proficiency in Microsoft Office Suite. Familiarity with inventory and safety management systems considered an asset. Strong organizational skills with high attention to detail. Effective verbal and written communication skills. Ability to work independently as well as collaboratively within a multicultural, multidisciplinary team. Strong problem-solving and task-coordination abilities. Working Conditions On-site office-based position. Standard business hours: 8:00 AM – 4:00 PM; occasional overtime may be required during peak periods. No driving responsibilities.
