Job Description
To ensure that company financial records are accurate, complete, and submitted on time. Additionally, to manage all aspects of training administration efficiently and effectivel. Hybride Key Responsibilities 1. Bookkeeping Process customer and supplier invoices. Process bank statements and journal entries. Maintain accurate financial records in line with company standards. 2. Monthly Franchise Returns Complete and submit monthly franchise returns. Ensure submission to Head Office by the second business day of each month. 3. Monthly Financial Reporting Prepare BIC reports, including metric reporting. Conduct variance analysis: Actual vs Budget. Prepare reports for internal monthly meetings. 4. Certificate Management Ensure all training batch documents are saved on SharePoint. Complete and submit certificate order forms to Head Office. 5. Debtors Management Review debtors ledger for accuracy and completeness. Send out monthly statements. Follow up on outstanding payments. Issue letters of demand where required. Hand over long-outstanding accounts to debt collection. 6. Payroll Review staff schedules for completeness and accuracy. Prepare payroll and calculate sales commissions. Process payroll on Pastel and generate employee payment reports. 7. VAT & Supplier Payments Prepare VAT submissions and process payments. Maintain and submit an outstanding supplier payment schedule. 8. Training Administration Manage end-to-end training admin: learner registrations, pre- and post-training processes. Coordinate training material printing and distribution. Arrange courier services for training documentation. Handle client training queries promptly. Liaise with sales consultants regarding training interventions. 9. Ad Hoc Duties Provide support to team members and contribute to maintaining strong client/franchise relationships. Perform additional administrative or operational duties as required. Bookkeeping/Accounting or Commercial Diploma/Degree (or relevant qualification) Strong attention to detail Proficient in Microsoft Word, Excel, PowerPoint, Sage Accounting, and general computer systems Ability to work quickly and accurately under pressure Excellent written and verbal communication skills Strong organisational and time management skills Knowledge of Entecom systems and processes Collaborative team player Key Attributes & Values Customer Focused Dedicated to providing excellent service.
