Responsibilities PRIMARY PURPOSE The Enterprise Architecture Coordinator supports the organization’s technology planning function by coordinating and facilitating Enterprise Architecture related planning, project architecture, and design documentation and activities. The role performs duties across key areas, including Strategic Planning and Communications; Enterprise Architecture Coordination; Documentation Administration; Document and Correspondence Preparation; Information Tracking and Reporting; and Technology Administration/Leadership. The primary focus of the role is planning, problem solving, and making recommendations to support project design activities. It involves working closely with Solution Architects and Project Managers to define Technology Architecture and Solution Architecture scope of work, while ensuring a deep understanding of business needs and requirements. The role also contributes to the development of the Investment Plan and budget, Portfolio and section plans and budget(s), monitors financial progress, and recommends modifications to the scope, schedule, or budget to achieve successful project design delivery. Key Accountabilities Manage and control access to highly sensitive organizational information such as financial, workforce and technical Information from partners as per investment plan and portfolio management activities. Perform document control activities to ensure information is accurate, controlled, transmitted, managed, and archived in accordance with established policies, procedures and project requirements. Manage additions, revision, control issues, and receipt of controlled documents and data from staff, consultants and contractors. Set up and maintain project documents and records in the Electronic Document Management System (EDMS) and Enterprise Architecture Repository, ensuring proper review, storage, updates, archiving and distribution of project records throughout their lifecycle. Interface with planning, design and project teams to coordinate document control and data collection. Monitor and audit the integrity of electronic document/records management system by verifying metadata, quality, user access and retention schedule in accordance with established procedures. Conduct quality control checks of incoming and outgoing data, documents, records, and technical drawings before filing and distribution, ensuring appropriate controls are applied (e.g. drawing and document number, revision number, document status, review status & document type). Process and distribute project documents for RFI and RFP requests. Support in developing, organizing and conducting workshops and training sessions related to IT Document Control processes to stakeholders. Assist in the development of plans, procedures, work instructions, and guidelines for specific departments to ensure consistent and efficient document control processes. Assist in the audit of the document management system that covers collecting, processing, storing, retrieving and protecting records and documents, user access and records retention schedule in accordance with established procedures. Provides updates to Managers, Architects and stakeholders as needed. Oversee and provide direction to staff and contractors in adjacent IT departments. Qualifications EDUCATION AND EXPERIENCE The requirements for this position are acquired through the completion of a Diploma/Certificate in Information Technology, Computer Science or related discipline, along with 5 years of experience in an IT organization with a focus on coordination, document management and analysis activities. Experience in an engineering environment will also be considered. Working towards relevant industry accreditations (e.g. TOGAF and/or Association for Intelligent Information Management (AIIM)). Other Requirements Intermediate knowledge of document control procedures and filing and record retention systems Knowledge of metadata standards and digital preservation practices. Proficiency in electronic Document Management Systems (EDMS) such as Microsoft SharePoint or any equivalent document control software. Proficiency in Microsoft Office and Microsoft Excel. Experience with assembling controlled documentation for programs and projects Excellent demonstrated organizational and time management skills. Strong attention to detail and problem-solving skills Excellent communication skills (written and verbal) with the ability to persuade others Highly organized and able to multitask and efficiently respond to changing priorities Ability to work independently and as part of a team Ability to work hybrid from the Sapperton Office. Other Information Recruitment Process: An applicant will be required to demonstrate their suitability for this position by meeting the minimum level of qualifications and experience in order to be invited into the selection process. A standard interview format will be used including general, scenario and behavioural descriptive interview questions. Work Schedule 37.5 hours per week. Work Designation Hybrid This position offers the flexibility of working both on-site and remotely within B.C. Rate of Pay The salary for this position ranges from $69,600 - $96,000 per annum. Actual salary offered will be based on education, experience, skills, and qualifications as they relate to the role. We aim to provide competitive pay that reflects your professional background and expertise.
