Job Description
Role Purpose The Junior Bookkeeper / Finance Administrator plays a key role in supporting the Finance Manager and Managing Director with day-to-day bookkeeping and administrative tasks. This is a hands-on, in-office position that involves processing transactions, handling returns, maintaining records, and assisting with daily, weekly, and monthly financial routines to keep the business running smoothly. Key Responsibilities Daily Finance & Admin Support Capture and process supplier invoices, credit notes, and customer payments. Perform daily bank statement allocations and assist with reconciliations. Maintain accurate filing (digital and physical) of financial documents. Handle and process product returns and ensure correct credit notes are issued. Support the Finance Manager with ad-hoc administrative tasks and data capture. Weekly & Monthly Tasks Assist with weekly supplier payment runs (preparing payment batches for approval). Follow up on outstanding debtor payments and update ageing reports. Participate in weekly stock and returns reviews with operations and warehouse teams. Help prepare monthly management packs by collating invoices, statements, and reconciliations. Support the Finance Manager during month-end close (journals, reconciliations, reporting). Office Administration Provide general administrative support to the Managing Director and team. Coordinate and maintain internal records such as supplier contracts, credit applications, and staff expense claims. Assist with internal communication, filing, and document management to ensure smooth office workflow. Key Requirements Education: Matric (Grade 12) required; Bookkeeping or finance administration certificate/diploma an advantage. Experience: 13 years experience in bookkeeping, finance administration, or office admin role. Skills: Decent understanding of accounting principles and financial documents. Proficiency in Excel and accounting software (Xero, CIN7 preferred). Strong organisational skills and attention to detail. Ability to work with multiple stakeholders and meet deadlines. Good communication and problem-solving skills. Willingness to work hard, learn lots and get stuck in!
