We are a modern and growing accountancy practice in Aberdeenshire specialising in rural family businesses. Our continued growth has created an exciting opportunity for an experienced Operations Manager to join our friendly and down to earth team. You will oversee the day-to-day operational functions of the business, ensuring efficiency, compliance, and continuous improvement. Some finance and marketing activities will be included, creating a position with lots of variety. This role is key to creating a well-organised, high-performing, and future-focused environment for both the team and our clients. What’s in it for you? Flexibility in working hours Working in a bright, modern office environment Working with a friendly, down to earth and progressive team Be part of our senior management team The chance to make a real difference to our whole team, our business and ultimately our clients Salary likely to be in the range of £35,000 to £40,000 The key elements of the role are: Team Coordination & Support Manage workloads across the team to ensure balanced capacity and timely delivery Lead team meetings, minute key action points and objectives, and follow through to completion Manage email accounts for the senior team and assign tasks appropriately Support and influence positive team culture and high performance Line manager responsibility for up to 2 team members. Maintain and manage the HR system, ensuring up-to-date employee records Liaise with the payroll manager to ensure timely and accurate payroll processes Operational Efficiency & Improvement Drive continuous improvement across all areas of the business Identify inefficiencies and implement process improvements Lead initiatives to enhance working conditions and service delivery Oversee the use of digital tools that are regularly evolving and expanding, and ensure team adoption and optimisation where appropriate Finance & Billing Monitor monthly billing processes and ensure accuracy in client invoicing Maintain the business’s Xero account, ensuring accuracy and up-to-date financial records Marketing & Brand Activities Draft and distribute regular client newsletters Ensure consistent social media presence Arrange branded merchandise and materials Co-ordinate sponsorships Co-ordinate business presence at relevant events Compliance & Administration Ensure ongoing compliance with health & safety legislation Arrange renewals for insurance policies and regulatory registrations Ensure all business and employee information is handled with confidentiality and discretion Provide general administrative support to the team alongside our Office Administrator Required Skills & Experience A meticulous eye for detail, the ability to juggle multiple demands, and a genuine passion for delivering work to the highest standards. A proactive, forward-thinking approach. You will be someone who anticipates needs and solves problems calmly and efficiently Excellent people management and leadership skills A naturally warm and professional communication style Excellent judgement, with the confidence to make decisions and handle sensitive information with utmost discretion.
