Job Description
Event Project Manager Reporting to: Head of Events / Head of Production The Project Manager (PM) is responsible for the entire execution of an event, from the initial brief to project closure. The PM serves as the primary contact for the client, ensuring satisfaction by overseeing project execution, quality, and adherence to timelines and budgets. The PM manages the project from receiving the brief, building the budget, and organizing the team’s work, activating and managing internal and external resources throughout production. The resource must understand the project's scope, monitor all phases, and coordinate the involved team. The PM works closely with the MakeItPerfect Head of Events (HOE) / Head of Production (HOP), reporting directly to them. Key responsibilities include but are not limited to: Participating in the client brief or obtaining an accurate internal brief. Organizing internal kick-off meetings with all relevant departments (creative, production, etc.). Creating project folders on G-Drive. Coordinating creative presentations under the supervision of the Creative Director and defining the project budget with oversight from HOE / HOP. Analyzing feasibility studies, briefing suppliers, and activating producers to support offers collection and comparison, reviewed by HOE / HOP. Defining renders and visuals with designers, under Creative Director supervision. Developing the project timeline and milestones with supervision from HOE / HOP. Controlling each project phase, managing contacts, reporting progress, and anticipating interventions if needed. Managing the project budget and ensuring profitability. Handling administrative workflows, including client invoicing, PO management, payment terms, contracts, and supplier payments. Maintaining the project budget updated with internal costs and alerting if margins are at risk. Reviewing supplier and location contracts with HOE / COO. Working primarily from MakeItPerfect’s Milano office, with occasional work in the Cremona office and potential travel abroad as needed. Qualifications include a degree or specialization in Communication or Economics, at least 3 years of relevant experience, high proficiency in English, additional languages a plus, excellent Office Suite skills (especially Excel), and experience with Keynote. Soft skills required are leadership, accuracy, organization, determination, responsibility, and the ability to stay focused under stress. J-18808-Ljbffr
