Job Description
To act as the first point of contact for visitors and employees, create a warm and welcoming atmosphere for all our guests and to undertake a range of other administrative tasks to support the Office Manager. Key Responsibilities Welcomes on-site visitors, determines nature of business, and announces visitors to appropriate staff member; Answers incoming telephone calls, determines purpose of calls, and forwards calls to appropriate personnel or department; Able to give an extra dimension to our company by how they presents themselves in welcoming our customers and visitors. From a service-oriented attitude they can deliver accurate information to those who need it; Manage the booking of meeting rooms and organizes the practical parts of a meeting (set up meeting rooms, coffee, badges, lunches etc.); Monitors visitor access and maintains security awareness; Arrange lunches, keeps an inventory of office supplies and ordering new materials as needed. Ensures that incoming and outgoing mail and courier shipments reach their destination; Coordinates and assists with event planning tasks, such as scheduling meetings, booking venues, arranging catering, and managing event logistics. Performs general clerical duties that include but not limited to: photocopying, faxing, mailing, and filing. Other Duties as Required Role Qualifications Rotating work schedule; (between opening 7am /closing 19:00) Ability to be a flexible and reliable team member Strong problem – solving skills Verbal & Written communication Customer focused Ability to work independently and as part of a team Have experience in a similar role Education: MBO or equivalent; Fluency in English, additional European languages would be a plus;
