Office Manager - £40,000 - £45,000 25 days holiday, 10% Pension, Bonus, Private Medical, Share Save Scheme A wonderful opportunity for an experienced and highly organised Office Manager to join this small, friendly Corporate Head Office in Piccadilly. This role will suit a proactive and resourceful individual who will play a key role managing the offices services for London, providing administrative support to the Company Secretary, and offering ad hoc assistance to the CEO and their EA. Office-based Monday to Friday 08:30 -17:00 The successful candidate will need to demonstrate Corporate Office Management and administrative experience. Ideally educated to degree level or equivalent, you will need a keen eye for detail and possess outstanding organisational skills. Can communicate well at all levels, internally and externally, from the Board through to the wider organisation. Be a flexible team player who can work collaboratively. Can react to ever changing priorities and is solution provider. Understanding of HSE processes is necessary. Plenty of scope for growth and development. Reporting into the Chief Financial Officer, responsibilities are varied including: • Managing office services suppliers, monitoring on-going requirements, reviewing, and renewing supplier contracts • Planning and booking maintenance services including PAT testing and fire equipment • Coordinating day to day equipment maintenance • Liaising with building management on building issues and attend quarterly tenants’ meetings • First point of contact for building management and security • Co-ordinating H&S issues for office, including quarterly fire safety checks and coordinating annual Fire Safety and First Aid training • Assisting with the arrival of new starters and DSE assessments • Reconciling company corporate credit card for month end • Booking couriers, processing incoming and outgoing post as required • Booking travel for London staff members • Purchasing all office supplies, stationery, kitchen, cleaning materials • Meeting and greeting all visitors, preparing refreshments as required • Arranging catering for meetings • Ownership of meeting room calendars – assisting staff with meeting room bookings • Updating building concierge on all guests • Taking full responsibility for meeting rooms including equipment • Liaising with IT team to resolve any IT issues in the London office and arrange quarterly visits from IT Desktop engineer to maintain IT equipment and resolve IT issues • Processing expenses for Chief Executive and Chief Financial Officer • Providing Investor relations support as needed for results and other key meetings • Providing ad hoc support to other senior employees in the London office • Co-ordinating logistics for all Board and Committee Meetings • Ensuring dates for meetings are agreed and diarised a year in advance • Administrating agendas and ensuring timely preparation and publication of papers on Board Portal and hard copies • Liaising with external venues for offsite meetings (including Annual General Meeting) and private dinners • Working directly with the Board on their travel logistics, expenses and any other support as necessary IDA Recruitment Ltd specialises in office support recruitment across London.
