Job Description

Job title: Project Administrator, Level 2 Client: Federal Government Location: Ottawa, Canada Contract: One year Extension: One Year Type of work: Onsite Security Clearance : Secret Tasks: Assist project management and data processing professionals, technical users and end users in simple routine tasks Provide administrative and technical support of a clerical nature as required to projects Assist in performing such tasks as maintaining project documentation and application/system libraries Acts as the first point of contact in a "hot-line" situation by accepting incoming calls, logging calls, attempting to resolve simple problems and following established procedures for more difficult problems Tracks project change requests Maintain and updates relevant project information in manual and/or electronic files; project information might include such things as project activity schedule, status reports, correspondence Use computer tools, aids, system control languages on PCs, minis, or mainframes to perform work Communicates with project management and data processing professionals, technical users and end users on administrative matters related to the project prepare DLCSPM documentation and correspondence; provide written reports documenting DLCSPM internal development, initiatives and activities; provide administrative support to all Sub-Sections of DLCSPM 4; support the audit of claims, both internal to DLCSPM and external for personnel using DLCSPM financial coding; support the production and delivery of briefings; support the production and tracking of monthly and yearly budgets, using Microsoft Word, Excel, PowerPoint and other office automation applications, as applicable; perform document and file management functions, including e-filing; enter and process data in databases and spreadsheets using predetermined formats and processes; Support the development and cost comparisons for travel claims of members within DLCSPM, both domestic and international travel; and Support the collection and reporting of quarterly financial reviews to enable analysis and appropriate distribution of funds. P.6 Project Administrator, Level 2 Resource Name (Resource 5): Mandatory Technical Criteria (MT) Bid Preparation Instructions 1.0 The Bidder must demonstrate that the proposed resource has a secondary school diploma or a post-secondary diploma for a recognized* Canadian post-secondary institution, or the equivalent as established by a recognized* Canadian academic credentials assessment service, if obtained outside of Canada, in Business Administration. *The list of recognized organizations can be found under the Canadian Information Centre for International Credentials website, https://www.cicic.ca/2/home.canada This must be demonstrated by including a copy of the diploma with the bid. 2.0 The Bidder must demonstrate that the proposed resource has a minimum of twelve (12) months combined experience in the last sixty (60) months in a minimum of four (4) of the following: Using MS Office Suite (e.g. Word, Excel, Access, Outlook and PowerPoint); Providing administrative assistance, including building pass preparation, filing and project documentation control; Processing travel including car rental, accommodation and flight booking; Performing cost accounting such as tracking of project expenses including travel budget/claims and verifications of invoices; Performing work accounting functions, including time tracking, timesheet verification, report generation and database updating. At a minimum, the following must be provided: Name and description of client organization and relevant experience; Timeframe (from-to dates month/year); Description of the roles and responsibilities for each project; Detailed example(s) demonstrating the relevant experience; and Reference* (Name, phone number and email address) for each project. *Reference checks will only be conducted to confirm the information provided, such as task types, completion verification, and adherence to timelines. 3.0 The Bidder must demonstrate that the proposed resource has a minimum of twelve (12) months experience in the last sixty (60) months in the preparation of technical concept documents, system specifications, and technical proposals in the field of information technology / information management or engineering. At a minimum, the following must be provided: Name and description of client organization and relevant experience; Timeframe (from-to dates month/year); Description of the roles and responsibilities for each project; Detailed example(s) demonstrating the relevant experience; and Reference* (Name, phone number and email address) for each project. *Reference checks will only be conducted to confirm the information provided, such as task types, completion verification, and adherence to timelines. 4.0 The Bidder must demonstrate that the proposed resource has a minimum of twenty-four (24) months combined experience in the last sixty (60) months performing a minimum of two (2) of the following: Developing briefing notes and presentations to address administration issues; Liaising with stakeholders to support administration requirements for the organization; Providing advice, guidance and recommendations on administration issues to support decision-making of senior management. At a minimum, the following must be provided: Name and description of client organization and relevant experience; Timeframe (from-to dates month/year); Description of the roles and responsibilities for each project; Detailed example(s) demonstrating the relevant experience; and Reference* (Name, phone number and email address) for each project. *Reference checks will only be conducted to confirm the information provided, such as task types, completion verification, and adherence to timelines.
