Job Description

We are seeking a proactive and detail-oriented Administrative Assistant to support our clients operations team. This individual will play a key role in ensuring the clients back-office functions run smoothly and efficiently, contributing directly to a mission of managing high-quality multifamily residential housing properties. Responsibilities: Managing and reviewing employee clock-in/out times via FingerCheck. Communicating with staff and managers to correct time entries and collect confirmations. Organizing and tracking documents for business licenses and compliance requirements. Contacting city offices to gather permit and licensing requirements and checklists. Coordinating with property managers to collect reports, fire inspections, and paperwork. Assisting in spreadsheet creation, data extraction, and reporting. Designing simple documents and marketing materials (e.g., badges, QR codes) in Canva. Managing small projects such as bulk ordering, scheduling, or internal process tracking. Requirements: Previous experience as Assistant required Availability to work Monday- Friday from 9 AM to 6 PM EST Excellent English communication (written and verbal). Able to juggle multiple administrative tasks efficiently. Comfortable navigating unfamiliar websites and reaching out for needed info. Able to ask the right questions and follow up without handholding. Tech Savvy Detail Oriented- Able to catch inconsistencies and follow through on open items.
