Job Description
Purpose of the Role The student & campus support administrator will support the daily administrative needs of students and manage front desk operations as their primary focus and promote a safe and healthy campus environment. This dual role ensures seamless student administrative support and adherence to health, safety, and environmental (SHE) standards at Belgium Campus iTversity, Kempton Park. Key Duties and Responsibilities Student Administration Front Desk and Student Administration · Front Desk Management: Serve as the first point of contact for students, staff, and visitors, handling inquiries, directing calls, and offering general assistance. · Student Queries: Assist students with a wide range of inquiries, including academic support, campus facilities, class schedules, and general administration. · Walk-in Customer Service: Welcome walk-in visitors and address their needs promptly and professionally. Uniform · Uniform Fitting and Orders : Assist students with uniform fittings, process orders, and liaise with suppliers to ensure timely delivery. Financial Transactions and Documentation · Payments Processing: Handle and record cash and card transactions, ensuring accuracy for EFTs and cash deposits. · Documentation and Record-Keeping: Issue and print student cards, maintain updated student records, and ensure efficient document management within the student portal. Office & Campus Organization · Document Preparation and Distribution: Assist with printing, binding, and document preparation; support faculty with academic material distribution. · Courier and Mail Services: Arrange courier services for the campus, ensuring efficient mail distribution and management. · Campus Environment Management: Ensure that reception and common areas are well-organized, welcoming, and conducive to a professional learning environment Support for the Executive Committee (EXCO) · EXCO Guest Hospitality: Welcome guests, prepare refreshments, and handle requests from EXCO members. · Administrative Support for EXCO: Assist with documentation, messaging, printing, and any administrative tasks requested by EXCO members. Student and Faculty Support · Academic Assistance: Assist students with login details, class schedule inquiries, qualification changes, and re-enrollment processes. · Documentation Services: Facilitate student requests for stamped transcripts, proof of registration, certificates, and examination-related queries. · General Faculty Support: Aid faculty with student administration and support tasks, ensuring prompt assistance with academic forms and submissions. Occupational Health & Safety & SHE Representative Duties Health and Safety Checks · Monthly Inspections: Conduct monthly safety inspections of campus facilities, documenting and addressing any identified hazards or safety risks. · First Aid and Emergency Supplies: Maintain and routinely check the first aid box, ensuring it is stocked with necessary items, and provide first aid assistance for minor injuries. Incident Reporting and Response · Accident Reporting: Document and report any incidents or accidents on campus, following protocol to ensure swift response and resolution. · Emergency Preparedness: Support campus emergency drills, ensuring students and staff are familiar with evacuation routes and procedures. · SHE Documentation: Maintain accurate SHE records, including safety inspection reports, incident logs, and first aid records, ensuring compliance with institutional and legal safety standards. Campus SHE Advocacy · Safety Promotion and Awareness: Advocate for a safe campus environment by educating students and staff on health and safety best practices, including the use of emergency exits, fire safety equipment, and injury prevention techniques. · Committee Participation: Actively participate in OHS and SHE committee meetings, contributing insights on campus safety issues and improvement opportunities. · Compliance Monitoring: Ensure adherence to all OHS regulations and SHE guidelines on campus, reporting any non-compliance to the administration. Required Skills and Attributes Interpersonal Skills : Exceptional communication and interpersonal skills to assist and engage students, faculty, and campus visitors. Organizational Skills : Strong organizational abilities to manage multiple tasks, prioritize effectively, and ensure efficient campus operations. Technical Proficiency : Proficiency in MS Office Suite (Word, Excel, Outlook) and the student portal system for managing records and documents. Safety Awareness : Knowledge of health and safety practices, particularly in emergency preparedness, first aid, and incident reporting. Customer Service Orientation : A friendly, professional demeanor with a commitment to delivering excellent customer service. Dress Code Business Casual : Professional attire is expected during weekdays, maintaining a neat, businesslike appearance. Friday Attire : Company T-shirt or campus-branded attire is acceptable; however, sweatpants and hoodies are not permitted.
