Robert Half is currently recruiting for a Part-time Event and Governance Assistant on behalf of a leading European trade association with centers across Europe. Renowned for its impactful work and multicultural environment, this organization offers a dynamic opportunity right in the heart of Brussels. As Event and Governance Assistant, you will be a critical contributor to the smooth operation of organizational processes. Your responsibilities will span from coordinating meetings and events to maintaining records and financial oversight. This role requires excellent organizational skills, multilingual communication abilities, and a proactive mindset, with flexible part-time hours (50-75%). Key Responsibilities: Meeting Coordination and Follow-Up: Prepare agendas, materials, and presentations for Executive Committee (ExCom) and General Assembly (GA) meetings. Attend meetings such as ExCom, GA, and Issues Teams to record decisions, draft minutes, and ensure follow-up actions are completed. Support GPA (General Plan of Action) monthly meetings, ensuring priority initiatives are aligned and executed. Record Management and Database Oversight: Publish and maintain official records with accuracy and accessibility. Manage and update the member database to ensure it remains functional and up-to-date. Financial Oversight: Monitor and manage financial systems for follow-up, including budget tracking and analyzing expenditures. Work closely with the Finance team to track, reconcile, and verify membership fees. Generate and review financial reports to ensure budgets align with organizational goals. Communications and Publications: Develop, coordinate, and distribute the organization's newsletter in collaboration with the Communications team. Ensure alignment in communication strategies across teams for consistent messaging. Event Management: Organize and execute events, managing logistics, scheduling, and participant communication. Partner with the Communications team to promote events effectively. Administrative Support: Handle ad hoc administrative tasks with a solutions-oriented approach. Provide cross-team support, ensuring workload priorities are met efficiently. Key Qualifications: Proven experience in a similar role within an international or European organization. Bachelor's degree or equivalent qualification. Excellent proficiency in English; knowledge of French and/or Dutch is highly desirable. Additional EU languages are a plus. Strong command of MS Office tools (Word, Excel, PowerPoint, Outlook). Superior organizational skills, time management expertise, and attention to detail. Dynamic, reliable, and adaptable, with the ability to perform well under pressure. Excellent communication skills, capable of connecting with individuals at all levels and from diverse cultures. A team player who can also thrive independently, demonstrating ownership and initiative. Ability to multitask and proactively complete tasks with efficiency.
