Logistics Fleet Controller position (6 month Contract)

Job Description
The primary responsibility is to assist the Logistics Manager with day-to-day fleet management tasks such as procurement, reporting, co-coordinating, administration and controlling whilst maintaining and implementing company policies, procedures and standards, as well as to monitor and run the fleet efficiently with the best fuel consumption possible per route. General Fleet Control · Responsible to instruct, oversee and manage the completion of tasks assigned to drivers and assistants (loading, on time deliveries, customer service, etc) · Assist, when necessary, with the implementation of logistic policies and procedures · Induction of new staff members and ensuring all policies and procedures are understood · Train new employees and assigning new employees to competent on the job trainers within the team · Monitor Dash Cam alerts and track common trends by advising Supervisor and or Manager on issues requiring discipline · Review and coach drivers on DashCam incidents · Assist in identifying training needs of new as well as existing employees · Assist with the testing of driving candidates during interview processes · Supervise, co-ordinate and schedule drivers and assistants in order to ensure on time deliveries · Allocate trucks to bays according to load sizes and ensure employees load timeously and without damage to stock · Be in constant contact/communication with the fleet and monitor and advise fleet on delays and assist in communication to Customers as to delays, problem solve driver issues/incidents Influencing behaviour of drivers and site supervision · Manage PDP renewal claims · Monitoring and managing vehicle GPS tracking system and generate detailed KPI reports Fleet Cost Control · Kilometers travelled are monitored on a daily basis according to the fuel issue system · Track, Monitor and Record Vehicle Turnaround Time · Manpower costs need to be measured by analyzing overtime trends, subsistence allowance payments, employee strength and method of calculation Incident & Accidents Control · Accident reports are accurate and concise · Accident report keeping system is maintained in such a manner that accident frequency, cost trends, discipline and training needs are recorded · Training of drivers and assistants on incident/accident procedures Briefing: Conduct pre-trip preparation · Checking of validity of COFs, licenses and transport permits · Load documents are prepared and checked prior to dispatching · Ensure documentation is collected and checked upon return from delivery · Ensure pre-trip inspections are carried out on time and according to standard Debriefing: Conduct post trip preparation · Ensure that drivers are debriefed on return on certain aspects · Documents are collected and checked after the completion of a trip Administration & Keeping records · Information is accurately recorded in a computerized vehicle register within 24 hours of completion of a trip · Unresolved queries are reported to Management within 24 hours · Driver wages and subsistence allowance payments is calculated timeously and submitted to the wages clerk Implement and manage customer experience · Quality of service provided to the customer is checked on an ongoing basis by monitoring critical performance areas and taking timeous corrective action if required · Instances of poor and/or excellent customer relationships is reported to Management on an ongoing basis Fleet Supervision and Control · Measuring driver and assistant performance · Remain in constant communication with drivers on route · Ancillary duties requested by Management are carried out as instructed · Reporting of delivery delays and missed loads to direct Manager · Pro-active communication with dispatch teams at all branches · General admin and participate actively in fleet management oversight · Ensure accurate and timeous resolutions to breakdowns · Monitoring and recording of fleet overtime, rest periods, etc · Serve as a point of contact between drivers and/or assistants and customers (such as assisting with resolution of employees difficulties with customers while out on deliveries) · Sign-off on daily vehicle inspections and to ensure that drivers/assistants are completing their inspections and that the inspections are recorded and accurate and that notable items raised are addressed and actioned timeously · Monitor vehicle maintenance records and oversee vehicle maintenance costs · Ensure that drivers and assistants comply with PPE requirements and dress codes · Control of vehicle keys and key drop box (need to keep a register) · Ensure the rotation of vehicles between local and country trips Actively and continuously monitor vehicles via c-track monitoring Job Requirements 5 to 7 years experience in a similar role Qualification in Logistics or similar Employee relations and conflict management skills Relevant Legislative knowledge (Road Traffic & OHS legislation) · Drivers licence and own transport · Flexible in working after hours Able to handle extreme pressure, prioritise and multi-task
