Job Description

Key Requirements: Grade 12 (Matric) with at least 3 years experience in a similar administrative role Proficient in MS Office (Word, Excel, Outlook intermediate to advanced level) Bilingual (Afrikaans and English), with excellent written and verbal communication skills Professional, friendly, and confident when dealing with residents, contractors, and service providers Highly organized with the ability to multitask and manage time effectively Experience with document filing systems, both physical and digital Ability to maintain confidentiality and handle sensitive information discreetly Strong numeracy skills and basic financial/accounting understanding Good critical thinking skills and a proactive approach Must have own reliable transport and valid drivers license. Key Responsibilities: Perform general day-to-day office administration tasks Maintain and track all Estate and HOA correspondence and ensure timely responses Prepare agendas, documents, and packs for Board meetings Attend Board meetings, take accurate minutes, and distribute them promptly File, store, and maintain updated documentation (electronic and physical) on shared systems Monitor and reconcile petty cash and small procurement Liaise with and coordinate with external service providers, contractors, suppliers, and the local municipality Provide clear and professional communication (written and verbal) with residents regarding estate notices, queries, and general updates Maintain the office environment in an orderly and professional state Assist with compliance, document control, and audit preparation when needed Support the Estate Manager and Directors with administrative tasks and follow-ups Application: Please submit a detailed CV and a short letter of motivation not later than Friday, 22 July 2025.
