Job Description
Job Title: Personal Assistant with Accounts Experience Location: Newcastle Reports To: Senior Manager Job Type: Full-time Salary: Max R8500.00 per month Date: Immediately Key Responsibilities: Administrative Support: Provide day-to-day administrative support to the Manager, including calendar management, scheduling meetings, and handling correspondence. Screen and prioritize calls, emails, and other forms of communication. Prepare and organize travel arrangements, including flight, accommodation, and itineraries. Organize and maintain files, documents, and records, both digital and paper-based. Handle confidential and sensitive information with discretion and professionalism. Perform general office duties such as ordering supplies, managing office maintenance, and liaising with service providers. Accounts & Financial Support: Assist with basic accounting tasks, including invoice preparation, expense tracking, and reconciliation. Maintain accurate records of financial transactions and assist in the preparation of financial reports. Support the budgeting process and ensure timely processing of invoices and payments. Liaise with vendors, clients, and internal departments regarding financial matters. Assist with payroll preparation, including tracking employee hours, managing expenses, and reconciling accounts. Prepare financial spreadsheets and reports using Excel or other accounting software. Ensure adherence to company financial policies and procedures. Project Management: Assist in managing small projects or tasks, ensuring deadlines are met and milestones are achieved. Provide support in organizing events, meetings, or conferences, including budgeting and vendor coordination. Other Duties as Assigned: Undertake any other tasks or responsibilities as required by the Manager to ensure the smooth running of daily operations. Requirements: Proven experience as a Personal Assistant, Executive Assistant, or in a similar administrative role. Solid background in accounts or financial administration, with a basic understanding of accounting principles. Strong proficiency in Microsoft Office Suite Excellent written and verbal communication skills. Ability to handle multiple tasks, prioritize effectively, and meet deadlines. Strong attention to detail and accuracy, especially in financial matters. Highly organized with the ability to work independently and as part of a team. Discretion and integrity when handling confidential information. A proactive attitude, with the ability to anticipate needs and take initiative. A relevant degree or qualification in Business, Finance, or a related field is a plus. Preferred Qualifications: Matric Degree, Diploma, Certification or training in accounting or finance
