Job Description

WorkHQ is building a career platform for employees and recruiter built on the principles of data openness, quantitative evaluation, and self-improvement. The core of the platform is a data augmentation and analytics layer that helps users visualize an individual’s “human capital” with a single, intelligible score. A user’s WorkHQ score quantifies their work experience and education, and is further enriched by proprietary data signals from WorkHQ to provide a holistic ranking of professionals in the same functional role.

Our goal is to help all users understand how everyone “stacks up” without having to parse individual resumes or LinkedIn profiles and ask for referrals or recommendations.

Our company has raised $26M to date–although we are still pre-product. We have a remote global engineering team of 12 at the moment. Company leadership is based in Los Angeles.

Job Overview:
The Executive Assistant provides comprehensive support to the CEO and COO, enabling them to focus on their core responsibilities and decision-making. This role requires a highly resourceful individual with strong emotional intelligence, self-motivation, and analytical skills.

Key Responsibilities:
  • Administrative Support: Manage and maintain executives' schedules, appointments, and travel arrangements. Arrange and coordinate meetings and events, prepare agendas, reserve and prepare facilities.
  • Communication Management: Serve as the primary point of contact for internal and external constituencies on all matters pertaining to the Office of the CEO and COO. Manage communication flow in a timely and accurate manner, which includes drafting emails, reports, and other communications as needed.
  • Document and Presentation Preparation: Prepare and edit correspondence, communications, presentations, and other documents. File and retrieve documents and reference materials.
  • Project Management: Lead and coordinate diverse projects and initiatives, often with a company-wide impact.
  • Data Analysis and Reporting: Analyze and prepare reports to assist the CEO and COO in decision-making. This includes gathering data, compiling information, and preparing papers for consideration and presentation.
  • Stakeholder Liaison: Act as a liaison between the executives and employees, fostering a collaborative environment and ensuring effective communication channels.
  • Confidentiality: Maintain the highest level of confidentiality and discretion, understanding the sensitive nature of the information handled.
Qualifications:
  • Bachelor’s degree or equivalent experience in business administration or related field.
  • Proven experience as an executive assistant or in a similar role.
  • Exceptional organizational and time-management skills.
  • Strong communication and interpersonal abilities.
  • Proficient in Microsoft Office Suite, and familiarity with other business and project management tools.
  • Ability to work under pressure and to tight deadlines.
  • High level of discretion and confidentiality.

  • Strong problem-solving skills and analytical thinking.

This role is pivotal in ensuring the smooth operation of executive activities and contributing to the efficiency of the business as a whole. The individual in this position will need to be a master of multitasking and prioritization, with a focus on supporting the executives in driving the company’s strategic objectives.
